A service record for each boiler, vehicle or machine
A service record is the history of one machine: what was done, by whom, when, and what's due next. Each page covers one asset, with visits listed newest first and a banner that turns amber close to the next due date and red once it's passed. It's useful for warranties and resale, and for the next engineer who turns up.
When to use it
- You look after boilers or air conditioning for many households.
- A small fleet needs a record per van, kept outside anyone's head.
- A cafe wants its coffee machine and fridges on a maintenance log.
- A landlord wants records that stay with the property when tenants change.
What a good one includes
- The make, model and serial number, which matter when ordering parts or making a warranty claim.
- The asset's location, like 'kitchen cupboard', for whoever's visiting next.
- The date and engineer on every visit.
- What was done and which parts were used, in enough detail to help next time.
- The next service and date. The banner turns amber in the last 30 days.
- Notes for the next visit, such as 'flue seal to watch next year'.
Make one by saying what you need
Text it, type it or say it, the way you'd tell a colleague:
Service record for the walk-in freezer at Bay Street Deli, serial FZ-4471, serviced today by Ana, cleaned coils, next due in six months.
Questions
What should a service log include?
Date, who did it, what was done, parts used and any readings, plus when it's next due. Follow the maker's schedule for anything specific.
Does it remind the customer when service is due?
The page shows it on the banner, but it doesn't message them. You can schedule a renewal notice or reminder for that date.
Can several people add visits?
Each visit goes in as an update to the page, with room for the engineer's name.
