An invoice template your customer can pay from
An invoice says who owes what, for which work, by which date. This one is a page rather than an attachment: the lines add themselves up with tax and discounts, and once your Stripe account is connected the customer pays from the same screen they read it on. They can still download a PDF for their accounts.
When to use it
- You've just finished a job and want the bill with the customer before you leave the driveway.
- A deposit was taken earlier, so the invoice has to show what's been received and only ask for the balance.
- One job mixes rates, such as labour at one tax rate and materials at another.
- A trade customer needs a numbered document for their bookkeeper as well as a way to pay.
What a good one includes
- A unique invoice number. It's how you and the customer find this bill when a payment needs matching six months on.
- The issue date and a real due date. A calendar date leaves less room for argument than a phrase like 'on receipt'.
- Your business address and tax ID if you have one, since accountants and some tax systems expect to see them.
- Each line with a quantity and rate. Customers query vague totals, and rarely query a clear list.
- Tax as its own line, with the rate shown, so a business customer can claim it back where that applies.
- Any deposit already received, leaving a plain balance due at the bottom.
Make one by saying what you need
Text it, type it or say it, the way you'd tell a colleague:
Invoice Dana at Brightside Dental for 3 hours of HVAC servicing at $110 an hour, plus a $65 filter, due in 14 days.
Questions
What has to be on an invoice?
It depends on where you are and whether you're registered for a sales tax or VAT. Most include a number, dates, both parties, what was supplied, the amount and any tax. If you're tax registered, check your tax authority's list, because it can be stricter.
Can I add a late fee to an invoice?
Usually only if the customer agreed to it up front, for example in your terms or on the quote. Some places also set limits or give a statutory right to interest on business debts, so check what applies to you.
How does the customer pay it?
They tap Pay and go through Stripe checkout. That needs your own Stripe account linked, and the money lands there, not with us.
