An inspection report customers can actually read
An inspection report turns what you saw on site into a clear finding for someone who wasn't there. This page opens with an overall result and summary, then goes area by area with a pass, attention or fail status, notes and photos. It ends with recommendations and next steps, and saves to a tidy PDF.
When to use it
- A yearly check of a boiler, roof or fire door that's due for sign-off.
- A property manager needs the state of a unit between tenants.
- A pre-purchase inspection of a vehicle or a piece of equipment.
- A site visit found things the owner needs to decide on.
What a good one includes
- One overall result and a summary in plain words, for the reader who stops there.
- Each area with a status and what you found, measured where you can.
- Photos of anything that isn't a pass. They do more than a paragraph can.
- Recommendations in order of urgency, with costs if you have them.
- The inspector's name and credentials, plus the date.
- How to act on it. The page has no reply button, so say whom to contact.
Make one by saying what you need
Text it, type it or say it, the way you'd tell a colleague:
Inspection report for 22 Birch Lane by Keystone Roofing: flashing pass, gutters need attention, ridge tiles fail, replace within 30 days.
Questions
How should I write up a fault?
Say what you saw, where, and what it means, then what to do and by when. Stick to observations, as opinions without evidence are the first thing to be challenged.
Does this meet regulatory requirements?
It's a general format, and it doesn't certify anything. If your work falls under a regulator or a licensing body, check what its records must contain.
Can I add photos?
Yes, per area, as links to images you've uploaded.
