A work order your team can tick off on site
A work order tells one person exactly what to do at one place. This page gives them the customer, a map link, a tap-to-call number, the priority, tasks to tick and the parts needed. When they finish, they write what was done, press the button, and the office knows.
When to use it
- A dispatcher sends tomorrow's jobs to a technician the evening before.
- A subcontractor needs instructions, with no access to your systems.
- A building manager raises repairs for a caretaker to work through.
- An urgent call-out has to land on someone's phone in the next five minutes.
What a good one includes
- The fault as the customer described it, plus what it might mean.
- Tasks in the order they should be done, each short enough to tick.
- Parts and quantities, so the van is loaded before leaving the yard.
- A scheduled time and a priority level.
- Site notes like parking and access times.
- A place to say what was really done, which is your raw material for the invoice.
Make one by saying what you need
Text it, type it or say it, the way you'd tell a colleague:
Work order for Jo at Harbour Electrical: Tide Cafe, 6 Quay Road, tomorrow at 9, urgent, fridge circuit tripping, test it, replace breaker, bring 2 RCBOs.
Questions
What's the difference between a work order and an invoice?
A work order is the instruction to do the work and an invoice is the bill for it. Details from the first often feed the second.
Does the technician need an account?
No. They open the link on their phone, and the Done button reports back from there.
Can they add photos to it?
Not on this page. If you need photos from site, use a job intake form or ask them to send pictures separately.
