A simple receipt for money you've already taken

A receipt is proof that a payment happened: what for, how much, how it was paid and when. This page puts that in one short view marked Paid, which suits cash, cheque and bank transfer payments that didn't produce one automatically. The customer can keep the link or save a PDF.

When to use it

  • A customer paid cash at the door and asked for something in writing.
  • A bank transfer landed and you want to confirm it arrived.
  • Someone needs proof of payment for an expense claim or their own records.
  • A deposit came in by cheque and you want the paper trail to start now.

What a good one includes

  • The total, stated as paid. That one word is the point of the document.
  • The date of payment, which may differ from the date you did the work.
  • A receipt number you can search for when someone asks for a copy.
  • How it was paid: cash, card, transfer.
  • A reference such as a bank or card transaction ID, which settles any 'did it arrive?' question.
  • What the money was for, one line per item.

Make one by saying what you need

Text it, type it or say it, the way you'd tell a colleague:

Receipt for Joan Reyes, $150 cash for one piano lesson block from Harbour Music, paid today.

Worth knowing. Add a tax rate and the receipt shows a subtotal and a tax line above the total, which suits a VAT claim or a business expense. Leave it out if you don't charge tax, and the receipt stays a plain list of what was paid.

Questions

What's the difference between a receipt and an invoice?

An invoice asks for payment and a receipt confirms it. Many businesses send both for the same job.

How long should I keep copies of receipts?

Tax authorities usually set a minimum, often several years. The period varies by country and business type, so check your own.

Do I need this if the customer paid through the Pay button?

Often not, since a card payment leaves its own record. This page is most useful when the money moved outside the page, like cash or a transfer.
